GENERAL PURPOSE

This position is primarily responsible for reconciling bank accounts and revenue, journal entries, prepare sales tax returns and monthly financials. Assist the Revenue Manager, Finance Director, and the Assistant Finance Director as needed.

REQUIRED EDUCATION, QUALIFICATIONS, KNOWLEDGE, SKILLS AND ABILITIES

Minimum of a high school graduate or equivalent with at least two (2) years of experience in finance or business. Must have intermediate skills in Microsoft Office Suite and familiarity with financial software. Must have advanced proficiency with business machines including the 10-key adding machine, copier, fax, etc. Must have great problem solving, analytical, organizational, interpersonal, written and verbal communication skills, and be detail oriented. Must show initiative and be able to work independently.

ESSENTIAL FUNCTIONS

  1. Accurately prepare and maintain all special event reports for revenue, expenses, and partner allocation on a weekly basis for special event staff and assist them in accessing supporting documents.
  2. Accurately prepare and proof the foundations and District board reports using pre-designed spreadsheet and general ledger for approval and distribution on a monthly basis.
  3. Process and review cash dailies for District facilities and import into Springbrook.
  4. Review revenue spreadsheet for accuracy and make appropriate corrections.
  5. Accurately prepare/scan/file purchase orders and journal entries using appropriate templates for the District and foundations for ACH Merchant Credit Card processing, recurring entries, Rec Trac reimbursements, inventory, postage, interest, bank statements, etc. from the monthly close list and input/import into Springbrook.
  6. Reconcile bank accounts to the general ledger monthly and reconcile specified general ledger accounts as indicated on a quarterly basis for all foundations.
  7. Prepare sales tax returns using data from the general ledger by location for approval to process via online.
  8. Perform a spot check of inventory with the supervisors of Arrowhead kitchen and golf pro shop on a quarterly basis.
  9. Respond to employee, vendor, and customer questions and requests in a timely manner.
  10. Set up and maintain accurate vendor accounts in Springbrook as needed.
  11. Gather supporting documents requested by auditors in a timely manner on an annual basis or as requested.
  12. Provide a high quality of customer service in a professional manner to the internal customer that will facilitate team building and exceptional customer service to the external customer.
  13. Follow the Wheaton Park District policies, procedures, and guidelines.
  14. Proactively support the V.A.L.U.E.S. (integrity, fun, commitment, adaptability and growth, kindness, and service) on a daily basis.
  15. Strive for continuous improvement of systems and self.
  16. Maintain good safety awareness and follow all safety guidelines and procedures.

MARGINAL FUNCTIONS

  1. May be required to work additional hours during peak times.
  2. Assist with special projects as requested.
  3. Attend meetings and in-service trainings as required.
  4. Other duties as assigned.

REQUIRED CERTIFICATIONS, LICENSES, ETC.

Must have and maintain: a valid driver’s license with acceptable driving record.

PHYSICAL DEMANDS

Must have the ability to: continuously use a keyboard and computer, remain in a stationary position for long periods of time; occasionally move about the office to access office equipment and files and move files weighting up to 30 lbs.; rarely move objects such as bankers boxes with files weighing up to 45 lbs. with assistance sometimes over shoulders or head.

ENVIRONMENTAL DEMANDS

Must be able to: work in a standard office setting; and tolerate all weather conditions while traveling to other facilities.

HOURS

Monday - Friday

28 hours per week

Flexible between the hours of 7:30 am - 5:00 pm

SALARY

$20.00 - $27.00 per hour, DOQ

  • This position is IMRF pension and paid time off benefit eligible.
  • Free use of fitness center, two pools, mini golf, and entrance to Cosley Zoo for employee.
